Questions we get before the first call.
What we build, what it costs, how long it takes, and what happens after the free 20-minute call.
Services and fit
- What kind of work do you actually do?
We find the repetitive work slowing you down and build practical AI tools and automations around it: lead response and qualification, scheduling and follow-up, intake summaries, quote and invoice drafting, review responses, daily reporting, internal knowledge search.
Everything is built inside the tools you already pay for, on a fixed scope and a fixed price, live in thirty days, then yours to keep.
- Do we have to buy new software?
No. We build inside your CRM, your scheduling system, your POS, and your company-approved AI platform. There is nothing new to buy, no per-seat license, and no integration you have to maintain forever.
- Which practice is ours?
Small Business is owner-operated service businesses with five to fifty employees. Hospitality is multi-unit restaurant groups and hotel F&B, five to sixty locations, or a strong single unit with a catering program. Tech & Startups is B2B SaaS or healthtech with 15 to 200 reps.
If none of those clearly fit, describe your business on the Find your fit page or bring it to the call and we will tell you which one you belong in.
- When is this not a fit?
We publish the disqualifiers on each practice page. We are not the right call if you are looking for a marketing agency, if you want new software to buy, if there is no reporting access to your POS, if there is no CRM or a CRM nobody updates, if you want a vendor evaluation, if your procurement cycle is longer than the engagement, or if you need staff augmentation.
- How many builds do you take on?
Limited builds per quarter. Current availability is shared on the call.
Pricing
- What does it cost to start?
Small Business: AI Opportunity Audit starting at $500, AI Starter Build starting at $2,000, Maintenance Plan starting at $250 per month.
Hospitality: Single-Unit Starter starting at $2,000, Hospitality AI Build starting at $5,000, Group Build starting at $12,500, Ops team workshop starting at $1,000 (half day), Ops retainer starting at $500 per month.
Tech & Startups: AI Sales Build $9,500 fixed, 30 days; Build Plus $16,500 fixed, 45 days; Enterprise Build $25,000 fixed, 60 days. Workshops, coaching, and keynotes are listed separately on that page.
- Are those prices final?
No. They are starting prices. The final price is set after a free 20-minute call, before any work begins, and once the scope is agreed it does not move.
- Why fixed price instead of hourly?
Most AI consulting is billed hourly, which means the consultant is paid more when the work takes longer. We quote a fixed price against a scope we define together in the first week. If the build turns out to be harder than expected, that is our problem.
- How is payment scheduled?
Fifty percent at signature, fifty percent at handoff.
- Does the audit count toward a build?
The Small Business AI Opportunity Audit is a ninety-minute working session and a written report ranking the five most automatable workflows in your business by hours saved. It is credited in full toward a build if you move forward within thirty days.
- What if we need work beyond the scope?
Scope is written and agreed at the end of week one. Work beyond it is a new engagement, not a change order.
- Do we have to keep paying after the build?
No. The Maintenance Plan, the hospitality Ops retainer, and the Tech & Startups Tuning retainer are all optional and can be cancelled. Most Tech & Startups teams do not need one.
Timelines and process
- How long does a build take?
It depends on the practice. A Small Business starter build runs two weeks. Hospitality work is live in thirty days. Tech & Startups builds are 30, 45, or 60 days depending on the tier.
All of them start the same way: week one is the audit, and you approve a written scope and price before the build begins.
- What happens in week one?
We sit in on your live work and interview the people actually doing the job. At the end of week one we hand you a written scope: the specific workflows we will build, and the price. You approve it before anything else happens.
- How do you know the workflows will actually get used?
Every workflow is tested with the actual people who will use it, not demoed to leadership. Things that do not survive contact with your team get cut and replaced. Rollout includes a live training session, a coaching guide for managers, and a recorded walkthrough every future new hire watches. On Tech & Startups builds, adoption is tracked on a manager scorecard.
- What support comes after launch?
Thirty days of support while it settles in. Build Plus includes sixty days. The hospitality Group Build adds a ninety-day check-in.
- Do you work remotely or on site?
Austin and Central Texas first, remote anywhere after. Workshops and keynotes are virtual, or in person plus travel.
After the free call
- What happens on the free call?
Twenty minutes. You tell us where the time goes, we tell you what we would build and what it costs. If there is a good fit, we outline a practical first project and the next steps.
- Is there any obligation after the call?
No. Nothing is booked or started until you approve a written scope and a price.
- What happens after the call if we want to go ahead?
You approve the written scope, fifty percent is due at signature, and week one begins with the audit. From there it is build, rollout with training, and handoff. You own everything at the end.
- We are not ready for a call yet. What else can we do?
Send a note on the Connect with us page and you will hear back within one business day, or use the Find your fit page to get a recommended service and its starting price in writing.
Data and access
- Where does our data go?
Nowhere new. Everything runs inside your own accounts, under your own AI platform's enterprise terms. We move nothing out. We train nothing on it.
- Who has access during the build?
Only what the build needs, and access is removed when the engagement ends. We sign your NDA and data agreement before the audit starts.
- Who owns the workflows at the end?
You do: the workflows, the documentation, the prompts, and the recordings. We remove our access. If you want us back later, the door is open, but nothing about this is built to require us.
Twenty minutes, and you will know the price.
